Confidential Destruction
When records reach the end of their retention period and have been ‘flagged for destruction’ either by the Magnum database or by the client, a detailed report is generated (quoting a unique report number), once published this will be sent to the relevant manager along with an accompanying letter requesting official authorisation to securely destroy all records (as per list).
Only after receipt of signed documentation will the destruction process begin. Initially Magnum will produce a picking list enabling the retrieval of all relevant files/boxes, once retrieved the physical files/data is checked and matched against the destruction report, where upon the records are prepared for destruction.
All records will be securely loaded into industrial shredders and shredded in line with British Standards which are then bailed, bound and sent for recycling. Upon completion of this process Magnum will issue the end user with a certificate confirming confidential destruction (quoting the unique report number). Magnum retains a copy of the certificate relating to each destruction reports in order to maintain a full audit trail.
All services follow standard operating procedures which are fully auditable and can be approved by the client prior to any work taking place.
